Setup Your Agent List and Logins 

This article explains how to configure agent cards and agent logins.

Agents include suppliers, carriers, onforwarders, and subcontractors. These entities handle consignment pickups and deliveries for you.

IdeaNote: If you have just completed the customer setup article, the process for agents is almost identical. Follow the steps below, noting the differences highlighted.

Navigate to Transport > Configuration and Setup > Card Files (Customers/Suppliers/Staff) > Suppliers (Agents) tab.

This section contains the agent base. Agents are entities that handle consignment pickups and deliveries.



This section of Transvirtual allows for the setup of the account’s agent base, representing the entities responsible for handling consignment pickups and deliveries on behalf of the account.

Creating Agent Cards

Option 1: Add individual Agents/Suppliers
  1. Click Add Agent/Supplier
  2. Enter the agent name
  3. Click Add



The agent record opens automatically.

Configure the following details as needed:

  • Agent codes (for integrations)
  • Contact information (appears on RCTI invoices)
  • Finance settings (invoicing terms)
  • Logins (for agent users who need mobile app access to deliver consignments)

Option 2: Bulk Import Agents

If required, you can import multiple agents using a CSV file.

Before importing:

  1. Click Export Agents (top right of the agent list grid)
  2. Save a backup of current agent data

To import:

  1. Prepare a CSV file with agent data
  2. Click here for CSV format requirements and template
  3. Access the import function
  4. Map the CSV columns to the corresponding fields
  5. Click Next to import

Example CSV columns:

  • Agent Name
  • Agent Code
  • Contact Name
  • Email Address
  • Phone Number
  • Address
  • Payment Terms

Note: Imports add new agents without overwriting existing data. Existing agents remain unchanged.


Creating Agent Logins

Prerequisites: The agent record must exist before creating a login.

  1. Open the agent record
  2. Select the Logins tab
  3. Click New User
  4. Enter the required details
  5. Click Add






Idea
Mobile device access: Set "Mobile Device Access" to YES to allow mobile app access. This is useful if the agent login will perform pickups or deliveries.

Configure additional details:

  • Double-click the login to open the agent user card
  • Update settings as required


Provide the login credentials to the agent user. If granted mobile access, they can log in via the mobile app and perform deliveries.

Note: Agent logins cannot access the web portal by default. Click here for information on changing access levels.


FAQs

Q: How do I delete or block an agent login?

  1. Open the agent profile
  2. Click Delete User (top right)
  3. Deleted users cannot log in to the account or app.


Q: What can an agent user access?

By default, agent users cannot access anything in the account.

Access levels can be changed using Security Groups. Click here for more information.
